    As more Talking Book libraries are considering which Duplication on Demand equipment and workflow to implement, we're working to help you make an informed choice about what will work best for your library, your staff, and your patrons. That means more resources and more opportunities to ask questions and get in-depth answers.

    For the past month or so, Katy and I have been working to create a video demonstrating the Cartridge Recycling workflow for Scribe. In the video, we show and describe using Scribe to duplicate cartridges that are not tied to a specific patron. It is in the final editing stages and should be ready for prime time in the next week or so. Until then, here's a couple of teaser pics and a promo version.

    Coming Soon: Duplication on Demand Roundtable

    "Duplication" is the word of the day / week / month / year for National Library Service for the Blind and Print Disabled network libraries. Whether you've already made the fundamental shift to providing duplication on demand materials for your patrons or are still trying to make decisions about how to shift your library to a duplication on demand service model, there's many questions, decisions, and challenges faced during the process.

    With this in mind, the KLAS Users' Group Program Committee is providing another opportunity for KLAS Users' to come together in a session focused on this topic. Go ahead and mark your calendar now for the upcoming KLAS Users' Roundtable: Duplication on Demand to be held on Tuesday, December 15 at 3 PM Eastern / Noon Pacific.

    Note: We expect this session to last two hours rather than the usual one. Also, we plan to record this roundtable and post it to klasusers.com for later reference.

    During this roundtable, three representatives of libraries using Gutenberg and three representatives of libraries using Scribe will each discuss their experience implementing duplication equipment, decisions regarding policy and staff changes, and more! After each shares a brief description of their process, there will be an opportunity to ask questions, discuss issues they've brought up, etc.

    IRC KLAS Administrator Online Training 


    In September, we conducted our first online KLAS Administrator's Training session. Next week's blog post will share details and feedback about how it went. Before that, however, I want to share the news that we are planning to offer it again and want our next session to be IRC focused. The thing is... we need your help to figure out when to schedule it so it works best for those attending.

    The training is held over the course of a week, Monday through Thursday, with two sessions each afternoon (to allow participants to join from any time zone), and includes pre-class worksheets that we recommend filling out to prepare for each session and a printed Administrator's Reference manual which will be mailed to you. This training is limited to attendees who have a KLAS Administrator role, including the authority to change records and policies for their KLAS system. If you fit this description and wish to participate, please complete this short survey to help us determine the best time to offer it.

    Administrator training costs $600 per attendee, but the online format means that there is no longer any need for additional travel costs.

    KLAS IRC / IMC Users' Group at APH 2020 Annual Meeting


    We hope all IRC / IMC staff who registered for the virtual APH 2020 Annual Meeting plan to join us for the KLAS IRC / IMC Users' Meeting at 10 AM ET / 7 AM PT on Thursday, October 8. This year's session is limited to one hour because of the compressed conference schedule, so our plan is to:

    • present some highlights of what we've added to KLAS for IRCs, and what's coming next
    • share some news about upcoming IRC focused training
    • have a bit of time for Q&A

    10 22 2020 IRC Users RoundtableAdditionally, knowing the limited time we will have during the APH Conference, the KLAS Program Committee decided our next KLAS IRC Users' Roundtable will be held Thursday, October 22 at 3 PM ET / Noon PT. We're excited to announce that Jared Leslie, AZ IRC, will be moderating the session. We hope it will be an opportunity to continue the discussion on any topics we don't have time to fully address during the APH meeting, provide more time for users to share feedback and tips and tricks, and an additional opportunity to demo new features and functionality.

    • Log-in information will be posted to the KLASUsers e-list and in the "Upcoming Webinars & Roundtables" article approximately one week prior to the roundtable.

    2021 KLAS Users' Conference

    Finally, we want to remind you that we're are in the process of planning an in-person 2021 KLAS Users' Conference (with the knowledge that we need to be willing to adapt and change depending on the state of COVID-19). At this time, the plan is for it to be held at Tennessee School for the Blind in Nashville from June 29-July 1, 2021. This will be our first biennial conference AND the first hosted by an Instructional Resource Center. Accommodations information will be available in the near future.

    We sincerely thank Dr. Kathy Segers, Director of Accessible Instructional Materials and Outreach Services, Tennessee School for the Blind for being willing to host for 2021 KLAS Users' Conference. We look forward to working with you to plan an informative, inspirational, and rewarding experience for all our attendees. The Program and Logistics Committees are already actively meeting with the goal of bringing you a well-planned conference offering opportunities for sharing great ideas and learning new ways to use KLAS to help improve the services your organization provides.

    Keystone COVID-19 Update

    Last week we updated you on how our Washington, New Mexico, and Kansas talking book libraries are faring as their staff and patrons continue to face the ongoing challenges of keeping themselves healthy and safe while operating during COVID-19. Today we want to bring you a similar update from Keystone. 

    Since mid-March our staff has primarily been working from home and continues to do so. This would not have been possible without using our established VPN and VOIP services. These have allowed us to access necessary documents and information and continue seamlessly answering customer phone calls. We hope you have not seen a dramatic change in our customer support or development process other than the occasional dog bark or child interruption which I am sure we've all come to expect at this point. If you've had any degradation in service of any kind, please let us know ASAP so we can address it.

    Also, this was the first year without a physical KLAS Users' Conference and we sincerely hope the online programming brought to you by your fellow KLAS Users and our Keystone staff have helped to keep you up to date on the latest happenings with Keystone and KLAS as well as continue to hear what you're fellow KLAS Users are up to. Speaking of these ongoing efforts, our next KLAS Users Roundtable will be held at 3:00 PM EDT September 17 and will focus on Virtual Programming for Patrons. More info will be forthcoming shortly. Keep an eye on the KLASusers listserv and our Webinars & Roundtables article for more info.

    A new initiative we've undertaken is to move our planned September KLAS Administrators' Training online. For the first time, we will be offering this training for your staff members to be able to attend remotely, eliminating the need to travel to our office. We're revamping the schedule, rethinking the sessions offered, and talking through the best way to conduct this training so attendees can fully benefit from it. This first session will be kept to a small number of participants, so we can try to encourage the discussions and dialog that have made face-to-face Administrators’ Training so successful. The price per person for this online admin training is $600.00, but there obviously are no travel costs to incur.     Hello everyone! Today, I'm bringing back (and updating!) a post from 2018. This is important info we want to make sure you know about and remember, so let's dive in...

    Keystone, KLAS, & Accessibility

    Easy access to all features and functions within KLAS has been integral to all phases of the design process since the first version of KLAS, and continues through our ongoing work developing the next generation of the program.

    From our first library customer, North Carolina Library for the Blind and Physically Handicapped, Keystone has had a commitment to develop library software and provide support services for all of our users. Now that KLAS is installed and being used by nearly 2/3 of the network libraries that are part of the Library of Congress' National Library Service for the Blind and Physically Handicapped as well as a number of Instructional Resource / Materials Centers, we have a multitude of staff (as well as public catalog users) performing a multitude of tasks and requiring varying levels and types of accessibility. To help meet the needs of our users, Keystone offers some additional support and services. Examples include:

    • Keyboard shortcut access to KLAS
    • Testing and troubleshooting of assistive technology software in conjunction with KLAS
    • Customized accessibility training for the workflow and AT used by a specific staff member
    • Keeping accessibility in the forefront of design as we move toward developing new versions of KLAS

    Keyboard Shortcuts

    KLAS is fully navigable both by a mouse and by a keyboard. In fact, we have seen that it's faster to use a keyboard than a mouse when performing tasks such as entering a new patron or entering multiple subject codes to an item.

    To help users learn KLAS-specific keyboard commands and shortcuts, we created a KLAS Keyboard Shortcuts Quick Reference Document. You can download it in either Word or PDF format from the "KLAS Keyboard Shortcuts" article.

    Update: For those of you implementing Duplication service, make sure to check out the QuickRef - Duplication with AT document for all the Duplication-specific shortcuts! It's available on the Duplication Info page.

    AT Testing and Troubleshooting

    We do ongoing testing of various types of assistive technologies (AT) and their interaction with KLAS. If you are using AT with KLAS and find you are having trouble, please contact both your IT as well as our customer support staff. We may have seen the problem before with another user and already have a solution, or we may be able to help you figure out what's going on at least from the KLAS side.

    Update: You may also want to grab the latest AT Reference Document and/or the QuickRef - Duplication with AT document from the Duplication Info page.

    Accessibility Training

    Another service we offer is assistive technology user training and workstation configuration. This service is for any staff member(s) that use assistive technology such as Jaws, ZoomText, WindowEyes, etc. It is a 5-day intensive one-on-one training session done at your staff person's workstation based on their job responsibilities and the adaptive technologies or software they use with KLAS. Please note, your staff member should already be familiar with and using the latest version of their preferred AT software, this training is specifically to configure it and KLAS to your users' specific workflow and needs.     Designed for All from the Beginning

    Accessibility is a core part of our design process. As we look toward developing the new KLAS features and functionality, our commitment to accessibility from the beginning continues. The consideration of how to make all of KLAS' screens easily navigable and all its features intuitively presented will benefit those both those who use AT as well as those who do not.

    KLAS Training: Continuing the Conversation

    Training your new staff on KLAS and / or getting refresher training for staff who have been using KLAS awhile is a topic that comes up in conversations with our customers on a regular basis. Back in May of 2018, Katy posted "Training Support", a Key Notes blog post asking for input on ideas for how Keystone can support your staff training goals. Please take a few minutes to go back and review this post again and share your feedback about the proposed Keystone training ideas on the linked "Training: How do you do it and how can we help?" forum post.

    But, also please take a few minutes to look at the questions she asked for your input on including:

    1. How do you train your staff?
    2. What materials do you already use or what materials would you like to have?
    3. What are your needs or wants in terms of evaluation, continuing education, certification?

    In addition, I would like to continue the conversation with these questions:

    1. What are your favorite KLAS training resources and methods?
    2. What have you found to be the most effective resource to train new staff? What challenges have you had?
    3. How do you keep established employees up to date on new features and functionality in KLAS? What keeps you from doing continuing KLAS training?

    Please take some time to share your thoughts and ideas on the "Training: How do you do it and how can we help?" forum post. I'd love for this thread to turn into a valuable place other KLAS Users' looking for KLAS training hints and resources can turn to.

  • Online Administrator's Training

    2021 Online Administrator's Training

    Keystone has offered Administrator’s Training sessions several times a year at our office in Raleigh for many years. Not only does it allow us to give admins in-depth training on their own systems, but it also gives them the opportunity to get to know us and network with a few of their peers as they learn together.

    However, we know travel costs are a barrier to some, and others are banned from business travel to North Carolina for political reasons. Then on top of that, we have a pandemic situation. Even Keystone staff isn’t going into the office right now, and we certainly aren't going to ask you to do so. The answer was clear...as much as we love having you in person, it’s time to offer admin training virtually.

    To prepare for to offer online KLAS Administrator Training the transition was not as simple as starting up an online meeting and carrying on the same as we do in person.

    Read on for more info about what the training offers, upcoming session dates, pricing, and a link to register.

    We want to make sure attendees get just as much benefit from the online version as they did from attending in person. That means the online version needed to have just as hands-on, personalized, and interactive an approach as the in-person version including opportunities for discussion with the other attendees and introduction to several Keystone staff members.

    Training Structure & Content

    We also took this opportunity to revamp and re-evaluate the structure of the training. Because the in-person version required attendees to stay here in Raleigh, it was kept to two (very busy, intense, somewhat demanding) days. To make it a little easier to absorb all of the information without eating too much into your schedules, we spread out the online version to four half-days running from 1:00-4:30 PM Eastern time each day. The lesson plan itself has been updated from a progressive tour of the admin menu to a more module and task-oriented approach.

    Finally, to help attendees orient themselves to each topic and come prepared to discuss their own settings and needs, we developed pre-class worksheets for each session. These worksheets are not checked or graded, it’s fine if attendees don’t have time to get through them all, but they will help ensure you get the most out of the training.

    Attendee Feedback

    In September, we conducted our first online KLAS Administrator's Training session. It was very much a trial run intended to make sure it met the goals we set out for it. So how’d it go?

    We asked the attendees for their feedback, and here are a few of their comments...

    “I really learned a lot from all of the sessions. I have this problem of not knowing where to start searches and Mitake took care of some of that. I am glad you asked everyone if we could record it. I have gone back a couple of times to see something that I had missed.

    I am also glad that there are takeaway lessons and the manual for future reference.”  Shawn Lemieux

    “I would like to first say thank you for providing the training for us, it really helped me understand many processes of KLAS that I had heard about from John, but now I have an actual context and understanding of them.

    I really liked the presentations as a whole; if I had two monitors it would have been perfect because I could follow along and go through the motions along with the demonstration, so for people with access to two monitors it would be even better! I found them easy to follow along as well, especially considering my background is not in libraries or library science, I was afraid it might have a hard time, but I managed fairly well. I would definitely recommend this training to others, and if I am in a management position in the future here I would definitely make sure to have employees attend the training as well.”  Adam Smith

    In short, we feel like this was a success, and we’re pleased to say we’ll be offering regularly scheduled Online KLAS Administrator’s Training sessions moving forward.

    Reporting to you Live... soon, anyways

    Reports are always a popular topic as a KLAS Users' Conference session, so we thought they'd be a great pick for our next Keystone-presented webinar! I may not be an Intrepid Reporter (like so many 80s heroines...), but I'll be demonstrating some of the powerful reports built into KLAS, fielding questions, and hosting a discussion on what new reports you may like to see added in future versions of KLAS. All are welcome; I'll be aiming to show and discuss reports for both IRC and LBPH users.

    Is there a specific report you want to know more about? A reporting or statistics question you want to ask? I'm very happy to receive requests and questions ahead of time! In addition to giving me the chance to research your question, it also ensures I can answer your question for the recording -- even if you aren't able to join us live.

    Of course, you're also welcome to do your best to stump me during the webinar itself. If you do, I'll be sure to get an answer to you afterwards.

  • Scribe Recycle Mode

    Hello, KLAS users!

    I hope you all got to enjoy a long weekend! It’s always hard to get back to work, but I have something fun to help welcome you back...a new video demonstrating the Scribe in Cartridge Recycle mode!

    What do you think? We’re finding that the Cartridge Recycle mode is more streamlined than we expected when we got started with PCC, and we think it’s a great option for libraries who are considering implementing a Scribe appliance.

    But besides the workflow... I’ve been learning a lot since we made our original Scribe video. Video has a much different “pace” than text in terms of how much information you can fit, how dense it should be, and how you organize it. Plus there are all the technical concerns: arranging and lighting the scene, getting good quality sound, and (hardest of all) editing the footage together. For her part, Drea has been very patient with my attempts at learning to direct a video, which I appreciate!

    I think this video is a big improvement over my first attempt, and I’m sure they will keep getting better and better. I want to keep offering information in a variety of formats for you, and video is a tough one—but I think it’s worth it.

    How are you training your new staff to use KLAS—and how can we help?

    We will continue to post Key Note blog posts and weekly tips, tricks, and questions on the discussion forum, and we hope these posts will be both a resource for you and a jumping-off point for you to share and collaborate on resources and methods with each other. But there’s more coming!

    I have a lot of ideas about different materials and resources that I could create, but I want to make sure that I’m putting my time into the projects that will benefit you. A few of the possibilities are listed below, but I’m very interested to hear your ides as well! Have a look through the list, then please chime in on the forums.

    How do you train your staff? What materials do you already use or what materials would you like to have? What are your needs or wants in terms of evaluation, continuing education, certification?

    KLAS staff have created instructional videos before, but there are a lot of challenges for this kind of project. It takes a lot of time and work to create even a short instructional video, and they aren’t easily customizable for different libraries the way a text How-to document is. Every library and other institution that uses KLAS is unique, and has unique settings, workflows, and standards—this is a strength of the software, but it makes it hard to provide generalized instruction.

    Because of these challenges, a renewed effort to provide an instructional video series would probably keep a high-level view (i.e. “What is in this module” and “How to use the screen” but not step-by-step instructions for specific tasks or processes such as “How to check out a book”) meant to introduce staff to the different parts of KLAS and how to use basic controls standard throughout the system.

    Idea 2: Assemble-your-own KLAS Scavenger Hunts


    The KLAS Scavenger Hunt is a skill evaluation method we have used in the past. As context, the 2014 Scavenger Hunt and answers are available for download at the end of this post.

    Because these are text documents, I could create various sections addressing different common set-ups and procedures. Then, from the “Master Test,” individual libraries could pick and choose the questions that apply to their situation. This would help to share the work of customization and would hopefully be flexible enough to meet many needs and remain sustainable through upgrades.

    Idea 3: Online Evaluations


    These would face many of the same challenges as the Video Series. Depending on what platform I find to help me create them, some customization would hopefully be possible, but a significant re-do for each interested library and IRC would be unlikely except as part of the subscription below.

    These would essentially be an augmented, self-contained version of the Scavenger Hunt, though they would need to remain at least a little more general. They would facilitate evaluation of staff skills, and potentially even a certification if such a thing is of use, without needing a supervisor to grade the test themselves.

    Idea 4: Training Subscription


    Finally, this is an idea that Drea has been mulling over. A training subscription would be a paid, annual service which would allow us to provide customized training targeted directly to your needs. The subscription could potentially include a series of webinars (either quarterly or scheduled as needed), which would be recorded and available to your staff from then on, as well as one or more custom Online Evaluations.

    Our current price list for our current training services is attached below; several of you have been taking advantage of these options, and they are still available. However, we recognize that training is often an ongoing need, rather than a one-time event. Our thinking is that an annual subscription could help you build training into your annual budget, while also helping us to plan out what we will need to provide through the year.

    Upcoming IRC / IMC Opportunities

    We're dedicated to supporting each type of organization that uses KLAS. Here are a few examples of our ongoing efforts to connect with and serve our IRC / IMC users:

    • Keystone staff attends the American Printing House for the Blind Annual Meeting where we host the IRC KLAS Users' Meeting.
    • The KLAS Users' Conference Program committee makes it a priority to seek out / provide KLAS content that appeals our talking book library, resource center, and association users as well as content specific to each.
    • In late October, Keystone is hosting an IRC Symposium at our office in Raleigh.


    I wanted to take a few minutes today to highlight two upcoming IRC / IMC KLAS user events.

    KLAS IRC / IMC Users' at 2019 APH Annual Meeting


    On OctobUpcoming IRC / IMC Opportunitieser 10th, Nancy and I will host the KLAS IRC / IMC Users' Meeting at the 2019 APH Annual Meeting. We invite you to join us at 8 AM in the Hialeah Room of the Hyatt to hear the latest updates about Keystone and KLAS, see new features being demonstrated, and provide us feedback about possible future development. Please let us know if you plan to attend before September 30, so we can have enough breakfast and (most importantly) coffee available.

    Current meeting agenda includes:

    • Welcome & Introductions
    • Update on Keystone over the past year - news, new projects & customers, etc.
    • Demonstration of new features in KLAS
    • Question & Answer session - open discussion of what you need / want from KLAS

    If there is anything in particular you want to ask about or to have us cover, please let us know! Your shared experience helps guide future development of KLAS (especially for IRCs / IMCs), and we value your input.

     

    We will also offer four one-hour one-on-one consultation meetings on Thursday, starting at 1:00 PM. To sign up for one of these time slots, please contact me and let me know your preferred time (Ex: 1:00-2:00 PM). Meetings will be scheduled on a first-come, first-served basis.

    We try to have lots of resources available for everyone, and of course our Customer Support team is always happy to answer questions, but we think the availability of online webinars and other training opportunities are also incredibly valuable. That’s especially true between conferences, as we are now on a biennial schedule.  

    With that in mind, let’s take a look at what’s coming up, and what other opportunities are available for you.

    Upcoming Webinar

    Our next Keystone-presented Webinar is scheduled for Thursday, August 19th at 3pm Eastern Time. I’ll be covering New Features released since the conference, so if you haven’t been keeping up with those Release Lists (or if you have questions about any of the new features) please make sure to join us!

    As usual, if you can’t make it, the session will be recorded and posted here on KLASusers to view at your convenience as well. I’m always happy to take questions or requests ahead of time if there’s something specific you want me to address.

    Possible Future Webinars

    We plan to continue regular New Features webinars, but what else would you like to see in terms of Keystone-presented webinars?

    We’re likely to do the occasional open Q&A Session and perhaps a dedicated Duplication Q&A. We’re also discussing a webinar series specifically for new users. Would these be valuable for you? What other topics would you benefit from the most?

    Custom Webinars

    Of course, while webinars open to the full Users’ Group have their advantages, sometimes you need something more specific for your staff or organization. Customer-specific webinars can get deeper into just your questions and provide answers and training tailored to your settings and workflow.

    To support the transition to Duplication, we're offering Duplication Training webinars to each library as they get their duplication equipment. But, we also know one-hour likely isn't enough to learn everything you need to know. If you need a refresher or follow-up session, please let us know and we'll get something scheduled. 

    Need something else? There's the option of arranging custom webinars or a webinar series on whatever topic you need--whether it's new staff training, review, or something in-between. This is a paid service, so let us know if you're interested and we'll send our current online training rates.

    Other Training Options

    Want to be sure you have regular training built in the budget? You can include a set number of Training Hours in your contract to be scheduled as needed during the year. This is a great option for libraries with a lot of turnover or special projects, or who have a harder time getting one-off expenses approved. 

    Finally, with vaccinations widely available we can start offering In-person Training again. Like custom webinars, in-person training is flexible for your needs with the added benefit of introducing us to your space and helping us learn your workflows and systems a whole lot better. This is our preferred option for Assistive Technology Training since it allows us to set up the AT user's workstation and software in addition to talking them through using it.
