Patron Notes - and transfers

We've found an issue with patron notes and transfers, particularly from WebReads libraries.  WebReads allows the library to only have one note per patron.  Essentially, they update and put additions to the note at the bottom of that note.  Eventually, it can add up to a lot of characters.  Once that note field hits a limit, it becomes impossible to transfer in that patron's record.  

Two take-aways from this:  
First, if you are experiencing difficulty in transferring in a patron from a WebReads library, please let us know.  We can separate out the note from the rest of the data and allow the record to load.  Then we can send you the information in the note separately.

Second, if you aren't using multiple notes (and corresponding note types) for your patron notes, it might be time to start.  Separating the content into individual notes can help make things easier to find and maintain, and it also  makes the transfers a bit easier!

Florida uses:
  • 1st, 2nd, and 3rd Equipment Notices Sent,
  • NEW- New patron,
  • PatXfer-patron transfer,
  • SMILE- patrons happy with service,
  • SRL-document assistance to subregional libraries,
  • SRP-summer reading program.
I will be asking for one more, to mark a general Program note.

Oregon has developed standardized KLAS subjects for our comments.  We don't use the "type" field, but by using these standardized comments we can query easily by comment.  We also have established processes in place for when certain changes are made to the patron account (S,D,T, change of address, phone, etc) since we maintain electronic files of the applications and have a Fund Development database.  We want to make sure that changes are noted appropriately.

It's great that you have a standardized list. We advocate using the note type because you can eliminate typos from your queries, but as long as everyone types from the same list into the Subject area, that works too.
