Keeping active patrons, not necessarily using service directly

Hi, I was wondering if anyone has a way they track partner organization usage into KLAS.

People who want Newsline, for example, Newsline sends us a request to verify their eligibility as a patron, and they proceed with their process. How about JBI or Xavier? What if a patron wants books exclusively from them, but only needs a machine from us? How can we keep them active if they aren't getting books or using BARD from us? We can have a work around by people who want just the Bible, we can say, yes, their one book this year is the Bible and adjust their last served date. But what about others? I saw a few inactive accounts just by chance this year with comments saying they wanted Xavier information -- which got me thinking there could be many more!

Any ideas? Can we add something like a subscription in KLAS? Or, does someone out there already have a cool trick to track? We want to keep active people!

I sent a message to MaryBeth about how the music patrons, and the physical braille patrons who get service directly from NLS are not counted in our Last Served Dates either, because there is no way to confirm the subscriptions were sent, or, that they get music materials at all - downloads or large print. She said they will investigate.

We get BARD circs in the CSV file from NLS that are clearly from the Music Section, but they never load because they are not technically our collection. However, I wonder if there's anything that can be done so that the circs finally count and the records can appear in KLAS (in a way that makes it obvious that we can't assist with downloads or DOD.) For example, we had a status of "Download Only" at one time. Could there be something like "NLS Only" that would come with restrictions so we're not accidentally naughty?  It doesn't help with all invisible patron activity, but it's one step in the right direction.

Our recommendations:

1. Yearly Calendar Service - Give the patron a subject preference for bestsellers, a cutoff & shipment size of 1, and an annual Calendar serve type. Tell the patron that you'll send one cartridge a year, they can read it first if something on it catches their interest and otherwise send it straight back. That will confirm that they are still at that address and will keep them active on the service. (If you don't have an Annual or Yearly Calendar AutoSelect serve type, contact Customer Support and we'll add it for you.)

2. Note Type - Create a Note Type for "Outside Service" or "Served by Partner," etc. When setting up a patron who wants just the bible, just JBI, just Newsline, etc, make sure to give them a comment with this Note Type. That will make it easy to spot when reviewing Patrons to Suspend, and easy to exclude from other queries when desired. (We're happy to add this for anyone who wants it as well--please let us know the code and description you want to use. For ex: OUT / Outside Service or ACT / Partner Activity)

Does anyone else have strategies for dealing with this? Would you actually want the NLS Music Section titles in your catalog, so long as we could lock them down to make it clear that they were info only, not served by you? Would you want a single "NLS Music" title to stand in for everything in that collection? (Note that either way, they could only catch BARD Downloads, nothing sent directly from NLS to the patron. Also, I have not yet checked with development for feasibility--just looking for what would be desirable.)
