NLS has requested counts of how many machines each library has for each PIMMS status. To facilitate this, we have created the Machine Count by Status Report.

This report will be run through the Batch Manager at the end of machine processing on the last day of the month. But to provide accurate data, we are asking that you also run the report right away--As Soon As Possible--and check the results for any data issues.

Instructions on running the report and things to check for in the results are available for download below.
If you have any trouble logging in or do not have a KLASusers account, please email us and we will send the instructions to you directly.

If you have any difficulty running the report or need help addressing any data issues it reveals, please contact Customer Support as soon as possible. IF IN DOUBT: Send us the report!

We are sorry for any inconvenience--and Thank You for your assistance with providing this information to NLS as requested!

Edit: On February 1st, please email your final report to Shana Osborne at NLS. You should be receiving instructions from her directly.

Edit 2: Per Op Alert 19-7, you will submit your totals via an online survey. As you add up your totals, DO NOT include TFO machines. Please see the Import Update post below for details.

A quick note on the PIMMS Status column.

A number of people have been confused by the numbers in this column. They are not a count--they are a code used to indicate the PIMMS Status. Just like our statuses have the code (AVL) and a person-friendly description (Available), the PIMMS statuses have a numerical code (3) for each description (Available).

In short, this column is more useful for NLS and for us than for you--and you can safely ignore it :)

Important Update

Since you will be reporting just the totals to NLS instead of submitting the full details of the report, please DO NOT count TFO / Transfer Out machines in your totals!

KLAS still counts transferred machines as PIMMS' On Loan, because the last time KLAS saw the machine, it was On Loan. After that, PIMMS knows which system to check for the machine's status; the KLAS status becomes redundant.

It's a quirk of the system that could unfortunately cause some confusion here. When filling out the survey for NLS, please make sure you do not count your TFO / Transfer Out machines in your totals!

Hi Katy,
Can you explain the notation on page two at the bottom regarding the items that are marked "obsolete" that says "correct Status and count elsewhere"? I am referring to the items of NAC/OBS, NAC/WDR and WDR/.

Hello,
NLS has said that Obsolete is not an allowed PIMMS status for digital machines, so any machines in a status that maps to Obsolete (frequently the ones you listed) need to be included in a different count on their survey, and preferably corrected in KLAS.
If you need some help figuring out the best status for some of your machines, please give us a call!

Larry, I read the latest Op Alert, 19-49, as meaning we would copy and paste the survey questions into an email, and send them directly to Shana. I think the survey monkey was for the past Op Alert. :)

Because you've all been through this earlier this year, nothing else is needed. However, if you would like to run a test report earlier to review your data (as described earlier in this forum thread), you are welcome to!

The latest word on the Machine Count by Status Report!

We've just confirmed with NLS that you are no longer required to submit this report monthly. However, they do recommend that you continue to run it monthly and review it to ensure that nothing is going awry.

This is a pretty good idea, especially as this is a "snapshot report," meaning that it captures current data that is hard for us to reconstruct if you were to ask about (for example) September's data now that it's November.

So go ahead and schedule this report to run monthly (or contact Customer Support and ask us to set it up for you) and keep an eye on those results. B)

You do not need to submit the results to NLS, they are now only for your information.
